Track My Label is a parcel arrival-tracking service run by Butopia Ltd. This page says what we hold, why, and how to get rid of it.
If you were sent a tracking link and did not sign up for anything — you are in the right place, and the next section is the one written for you. Somebody sending you a parcel gave us your details so we could tell you when it arrived. You can ask us to stop and to delete them, and we will.
If somebody sent you a parcel
We did not get your details from you. The person or company sending the parcel gave them to us, so that the service could tell you where it was and when it arrived. Under UK data protection law we have to tell you that plainly, and tell you what we do with them.
What we hold about you

We do not hold anything about you beyond that. No profile, no marketing list, no record of other parcels, nothing bought or sold to anyone.
The tracking page and the map
The tracking link is the credential — anyone holding it can see that parcel, which is why it is long and random and why we suggest not forwarding it further than you need to.
The page shows one position, the most recent, and never the route. That is deliberate: a full trail is a record of a driver's working day, and it is not ours to hand out.
The map is not loaded until you press See map. When you do, the map tiles come from OpenStreetMap and the mapping code from unpkg.com, and those two see your IP address because your browser has to ask them for the files. If you never press it, they are never contacted.
How to make us stop
Email hello@butopia.co.uk with the tracking reference, or just reply to any alert we sent you. You can ask us to:
- stop emailing you about this parcel, which we will do immediately;
- delete your name, email and phone number from the record;
- tell you who sent us your details, if you do not recognise the sender.
We do not require a reason and we do not charge for it. You can also switch the email alerts off yourself, at the bottom of the tracking page.
If you have an account with us
We hold your name, email address, a hashed password, your company name and the shipments you create. Payments are taken by Stripe — we never see or store your card details.
You are the one who gives us your recipients' details, so for those you are the data controller and we are your processor: we act on your instructions and use them only to run the tracking you asked for. That also means the responsibility for having a proper reason to give us somebody's email sits with you, not with us.
Our legal basis
- Legitimate interests for telling a recipient about a parcel addressed to them. The interest is straightforward — a person expecting a delivery generally wants to know when it has arrived — and the data involved is the minimum that makes it possible.
- Contract for running an account and taking payment for labels.
- Legal obligation for keeping accounting records.
We do not rely on consent for arrival alerts, because they are the service the sender asked for rather than marketing. We do not send marketing to recipients at all.
How long we keep things
- The detailed position trail is thinned after 30 days to about ten points — enough to show the journey happened, not enough to reconstruct a delivery round. An open-ended, timestamped trail ending at somebody's home is more than an arrival service needs.
- The shipment record is kept — reference, addresses, dates, label serial. It is needed to answer "did that arrive?" months later, to stop a label being charged for twice, and for our accounts.
- Account records are kept while the account is open, and the financial records for six years afterwards, as tax law requires.
- If you ask us to delete your personal details, we do, and the shipment record continues without them.
Who else sees it
Only where the service cannot work otherwise. None of these are given data to use for their own purposes.

We do not sell data, share it for advertising, or use it to train anything.
Cookies and tracking
The tracking page sets no cookies and runs no analytics. There is no consent banner because there is nothing to consent to. Signing in to an account sets one cookie, which exists to keep you signed in and does nothing else.
Where it is held
The service runs in the United Kingdom. Some of the suppliers above are based in the United States or operate globally, so data reaches them under the transfer safeguards UK law requires — the UK's adequacy arrangements or standard contractual clauses.
Your rights
You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, ask us to stop using it, or object to how we are using it. Email hello@butopia.co.uk. We will answer within one month and will not charge you.
If we get it wrong, you can complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113. We would rather you told us first so we can fix it.
